Kick-off meeting in Rzeszów (Poland)

The kick-off meeting was organised in Rzeszów, Poland, hosted by the coordinating organisation Fundacja EDUNET.

The meeting ensured a shared strategic understanding of project goals, outputs and responsibilities, and set the foundation for smooth cooperation during the 18-month implementation period.

During the opening session, the Polish coordinator presented the agenda, the project framework and expected outcomes. Partners introduced their institutions, experience in adult education and work with senior learners. The partnership reviewed the pedagogical focus of the project, with special emphasis on preventing cognitive decline and social isolation through English learning for seniors. A joint discussion confirmed the importance of applying digital tools and inclusive methods for seniors.

The Project Management Plan prepared by the Polish coordinator was discussed, including exact task division, deadlines and reporting obligations. Internal contracts were reviewed and signed. The consortium agreed on communication rules, monitoring procedures, administrative requirements, and evidence collection standards for dissemination and participation.

Key implementation decisions included the creation of the project Facebook page (Italy as leader), development of the project logo (Italy), poster (Portugal), leaflet (Poland) and project website (Italy). Partners also defined dissemination duties, internal reporting deadlines and the format for documenting each international meeting. The recruitment plan for staff and seniors was confirmed, along with ongoing obligations for local promotion activities and cooperation with stakeholders.

A detailed plan for producing the main project product E-Book “Learning English by Seniors versus Dementia” was approved: the pre-intermediate level module (Nov 2025–Jan 2026) and beginner module (Feb–Apr 2026), coordinated by Poland with contributions from all partners. Evaluation tools and timelines were established, including questionnaires after each mobility, a mid-term evaluation in May 2026 and final evaluation in February 2027.

The partnership scheduled international activities, including a workshop for seniors and staff learning mobility in Portugal in May/June 2026 and a final administrative meeting and multimedia training in Italy in October 2026. Procedures for Europass documentation, multiplier events and sustainability planning were also validated. Italy with the support of all partners will develop a set of digital tools for adult education between July and August 2026, with the final version due by 1 October 2026.

Throughout the project, all partners will engage local stakeholders and communities to promote the project and ensure visibility. Financial reports following the template provided by the coordinator will be submitted after the ninth month of implementation, with the partner deadline set for 31 May 2026. Interim institutional reports for the period 1 September 2025 – 31 May 2026 will be delivered by partners by 20 May 2026, followed by the interim report submitted to the Polish National Agency by 30 June 2026.

Multiplier events will be held by each organisation in the beginning of December 2026, with agenda, promotional materials, photos and signed participant lists submitted to the project coordinator. All materials will be uploaded to digital platforms/ project website, project FB, organisations’ websites/ FB and other digital educational platforms.

EPALE publications will be prepared by all partners. Sustainability plans for post-project continuation are due by 30 Jan. 2027. All partners will submit their final materials by 1 Feb. 2027 for the final Beneficiary Module report.

Foreign delegation visited Daily Senior House in Rzeszow, warmly welcomed by local authorities and staff of the Center, including: Vice-President of the Rzeszów City Municipality, Directors of the Municipal Social Welfare Center of Rzeszów, Director of the Municipal Support Center for Seniors. The visit was marked by cultural exchange and solidarity, offering participants the opportunity to learn more about an essential aspect in dementia prevention - care and support for the elderly. Significant were also visits of educational historical profile in Museum of Poles Saving Jews during II World War, Museum of The City History in Rzeszów and cultural visit in Łańcut Castle that will be included in E-BOOK.

All partners committed to regular reporting, dissemination and documentation responsibilities, ensuring transparent coordination and effective delivery of project activities and results. Meeting evaluation has been done by the questionaries and common sum up discussions.
